Overview
The client set out to create a digital solution that would simplify compliance documentation in the construction industry. As the product gained traction, it became clear that clients needed much more: asset registers, maintenance management, tenant tracking, and portfolio-wide oversight. What began as a focused tool evolved into a robust property and asset management platform.
However, rapid growth exposed structural limitations. Features were layered onto an inflexible foundation, leading to clunky navigation and a fragmented experience. Managing properties at scale (from single buildings with thousands of units to estates spanning multiple sites) became slow and inefficient.
We were tasked with rethinking the platform’s structure to support both immediate needs and long-term expansion. By redesigning navigation, updating the UI, and creating a scalable design system, we delivered a solution that not only simplifies today’s workflows but can grow with tomorrow’s ambitions.

A Future-Ready Platform
By mapping how landlords, consultants, and operations teams currently managed portfolios of different sizes, we saw the need for a structural model flexible enough for both small holdings and large estates. The framework was shaped to let users move fluidly between strategic oversight and granular tasks, reducing the friction we observed in legacy systems.
Our exploration of workflows highlighted the importance of asset-level registers, automated maintenance, and a centralised compliance hub. Each feature was chosen to answer a specific pain point: scattered records, missed deadlines and limited visibility. To address these, we introduced a real-time dashboard that surfaces renewals, tasks, and compliance risks in one view, directly reducing admin effort.
For consultants and maintenance teams, we tested several collaboration patterns before focusing on task-oriented dashboards.
By capturing work orders, certificates, and service proofs together, the tool mirrors the way teams naturally coordinate, creating alignment rather than adding extra steps.
Embedding tenant and work order management into the platform’s foundation was a deliberate step. It ensured not only smoother day-to-day use but also opened the path for mobile apps and third-party integrations, which we anticipated as future client needs.
Alongside functionality, we invested in a robust design system. Documented components and clear interaction rules were prioritised to safeguard delivery speed and consistency. This decision allows the client to scale without expensive rebuilds, while end-users benefit from a familiar, intuitive interface.
